GME Orientation Preparation
Formal letters of appointment will be mailed to all incoming housestaff in the middle of May. They will need to be signed and returned to GME via mail no later than June 3. Watch your mail and emails and keep us and your program coordinators informed of any address changes.
Your individual programs will be in touch with you regarding any programmatic orientation specific to your department. Some programs require house officers to be here prior to GME orientation; others afterwards. Keep in touch with your program coordinator for details.
Please note: Housestaff must complete GME orientation prior to employment date.
Please also know that there will be several other activities which you will be required to finish prior to your GME orientation:
You will need to complete an on-line tutorial on our newest EPIC software program; all compliance Healthcare Education System modules on LEAP-ON LINE; a program on "Teaching Medical Students" and, most likely, our GME-TODAY competency modules. Emails will be sent to you with details and instructions for logging in and completing these before you arrive.
While we are aware that these on-line activities may be time-intensive, it will help you to hit the ground running and be well-prepared for your first day here! Many of these are mandated by accrediting agencies and require mandatory compliance. I promise they will be worth the time and effort in that it will acclimate you and your colleagues to Rush expectations for all housestaff.
At orientation you will fill out an "Employment Eligibility Form." You must have with you two of the following original documents and a photocopy of each:
- U.S. Passport
- U.S. Social Security Card
- U.S. or Canadian photo driver’s license
- U.S. certificate of citizenship
- U.S. certificate of naturalization
- Unexpired foreign passport
- Permanent resident card
- Alien registration receipt card
In addition to these two items, you must have your U.S. Social Security card with you. You must have an original signed U.S. Social Security card to be activated on the Rush payroll. If you have misplaced yours, order a new one immediately at www.ssa.gov.
For non-U.S. citizens:
You must bring your current original visa, I-94, and passport and a photocopy of each.
Your insurances begin on your first day of your contract providing you supplied the necessary application forms and supporting documentation to GME ahead of time. Information and forms will be posted under BENEFITS shortly. Please complete the forms on line, print them off and mail back to GME ASAP (no later than May 25) in order to have everything lined up for your first contract date.
Please note these dates for mandatory GME orientation:
If you cannot attend on your designated date, you MUST attend another one. Contact both GME and your program with any conflicts for date changes. You may not begin your program until you have attended a GME orientation.
